Main Menu:
  • NEW: Added new Main Menu buttons called "Templates" and "Reports", taking you directly to those new sections.
  • NEW: Added new Specs and Brief Spec Templates to Preferences.
  • Updated: Login has been sped up by not loading the number of projects and tasks per person as often.
  • Updated: Messages are now printable.
  • Updated: Added Cost column to Estimate Expenses preferences.
  • Updated: You can now add personnel directly from Agency Preferences instead of only from the Personnel section.
  • Updated: Added password protected export function in many areas of Agency.
Calendar:
  • NEW: Added a new weekly Production calendar view.
  • NEW: Added meeting time duration to calendar.
  • NEW: Added a "Jump To Week" date to easily move long distances in the calendar.
  • Updated: Added a view all events for the day button.
Clients:
  • NEW: Added a Client Brief for the overall client brand brief.
  • NEW: Added Import/Export, with preference to password protect.
  • Updated: Added Country field.
  • Updated: You can now assign a Production Manager to a client.
  • Updated: You can now set the AP Contact in the notes tab, which is the default contact that appears on Invoices.
  • Updated: Removed "Are you sure you want to add a new contact" alert.
  • Updated: Auto set the default credit limit to $0 on all new clients.
  • Updated: Added "Do A Mailing" to all in Reports.
Contacts:
  • NEW: Added a "Primary Contact" field to set a default company contact for each client.
  • NEW: Added ability to search among all contacts, regardless if they are associated with a Client, Prospect or Vendor.
  • NEW: Added address information for each contact.
  • NEW: Added ability to Export List, with password protection option.
  • Updated: Placed the Send Mail field on the Company General Tab for easy access.
  • Updated: Organized Contact details into two tabs, General and Activities.
  • Updated: Expanded notes area for each contact.
  • Updated: Robust searching allows for easier creation of bulk mailing lists.
Activities:
  • NEW: Added a new Form Letters management and organization system, which includes new merged fields.
  • NEW: The Subject on Phone Call Activities and Reminders is now an editable pop-up list for easy entry.
  • Updated: The Fax Cover Sheet now looks more standard.
Estimates:
  • NEW: Added a Job Type field, which, when set, allows Agency to automatically pick up the proper Spec and Brief Templates for the Job.
  • NEW: Job Type automatically populates when creating a Job from an Estimate.
  • NEW: Specs Tab allows for multiple Spec Templates for many types of Jobs. Choose the template from the pop-up list and click Set to set the template if it is blank.
  • NEW: In the Scope of Work (Description Tab), there is an "Insert Specs" button that will insert the information from the Spec Tab into the description automatically.
  • NEW: You can now add Merged Fields to Templates, which allow you to automatically insert the company name, Default Contact first and last name, industry and referred by fields.
  • NEW: Added new printing options per tab.
  • NEW: Added a date/time stamped notes field to be consistent with Jobs.
  • NEW: Added new Estimate Report, which shows all Estimates by company, date (or range), job, AE, or Status.
  • NEW: New button lets you select which variant of the production specs the client approved, which is then automatically transferred to the Job.
  • Updated: Greatly increased area allowing for lengthy production specs.
  • Updated: All print layouts to accommodate longer titles, clean look, and make consistent.
  • Updated: The new specs and brief carry over to the Job when it is created.
  • Updated: Added radio buttons next to the three Spec Sheets, allowing you to choose the spec sheet to copy to the Job when it is created.
  • Updated: Save as Template now saves the Scope of Work, all the Time and Expenses, and the Specs as a Template.
  • Updated: Pick up Template now picks up the Scope of Work, all the Time and Expenses, and the Specs as a Template.
  • Updated: On the Time Expenses tab, you can change a Rate Set and click the "Set" button to set the new rates on the estimate.
Jobs:
  • NEW: Added Job Details by Client report.
  • NEW: Added ability to create new Messages and Activities directly from the Job Notes tab.
  • NEW: Added a Return to Estimate button.
  • Updated: Renamed Tasks to Schedule. A Schedule is still comprised of a series to Tasks, and they now appear on a special Production Calendar.
  • Updated: Re-ordered the Schedule and Proofs Tabs to be more in the order of the workflow.
  • Updated: Made screen and print layouts more consistent among Estimates and Jobs.
  • Updated: Scheduled tasks are searchable by Job, day, responsible and status.
  • Updated: Schedule and Proofs tab to be more consistent in their display, showing more information as well.
  • Updated: Job Information report.
  • Updated: When marking a job as complete when there are still scheduled tasks To Do, new dialog alert lets you mark items as complete, or simply close the job.
  • Updated: Hours by Person report.
  • Updated: Printing Specs layout.
  • Updated: Tasks now have a Time Due to further prioritize them.
  • Updated: Added the Job Name to all value lists that were previously only showing the Job Number.
  • Updated: Traffic Status report to be more comprehensive.

  • Updated: Added ability to sort tasks by person.
  • Fixed: When re-naming a Job, the Client Code is updated as well.
  • Fixed: Tasks that are overdue appear bold and red in all locations they appear now.
Invoicing:
  • NEW: Added New Gross Profitability Report, add calculating Personnel salary, expense costs.
  • NEW: Added Invoice report based on time period or client.
  • Updated: Job List defaults to All Open Jobs.
  • Updated: Enhanced searching of jobs for Invoicing and invoices.
  • Updated: Set invoice from actual time and expenses removes all personnel that were estimated but posted zero hours against the job.
  • Updated: Printed invoice layout updated to fit a window envelope.
  • Updated: GI Summary report.
NEW: Reports:
  • NEW: Added new Reports Section. A centralized place to access all reports available in Agency.
  • Updated: Updated many report screen layouts to be more consistent with their corresponding print layouts.
  • Updated: All report print layouts have been made consistent with newer formatted reports.
Personnel:
  • NEW: Added Hourly Cost to personnel; used in the Profitability Report.
  • NEW: Created a new Personnel List report.
  • Updated: Added alert to prevent personnel accidentally being added to Agency.
  • Updated: You can create and send messages from the Message Archive now.
  • Updated: Renamed the pre-programmed Rate Sets to accommodate more options.
Prospects:
  • NEW: Added New Business Pipeline Report to help focus time on qualified prospects.
  • Updated: Improved import/export functionality.
  • Updated: Mailing to a Batch to allow mailing to the found set of Prospects assigned to a batch or not.
Time Sheets:
  • NEW: Created All Open report to show all Time Sheets that need to be approved based on who the personnel report to. So, if a department head clicks All Open, they will see all the open time sheets for people who report to them, not the entire company. Administrators have a shortcut that allows them to see all open time sheets.
  • NEW: Added ability to pick-up time sheet job list from a previous week.
  • NEW: Job numbers show Job Name next to them in the pull-down menu of active jobs.
  • NEW: Added ability to show All active jobs, or, just active jobs in the employees department, to shorten the list of available jobs to choose from.
  • NEW: Created new Time Sheet report.
  • Updated: Productivity report to allow more options, including department.
  • Updated: Time Sheet printouts to allow for more notes, and a hourly summary at the bottom.
  • Updated: Creating new time row can be done by clicking into a blank row, or, by clicking the New icon, which takes you to the next available blank row automatically.
  • Updated: If Time Sheets is password protected, they can only be deleted with the password.
NEW: Templates:
  • Created new templates area to store Letters, Estimates and Schedule Templates.
  • Agency now ships with several pre-defined templates that can be customized.
  • In Agency's Preferences, templates are available for Briefs and Printing Specs. These can automatically be assigned to Job types and auto-populate based on the job type.
  • All templates, including Estimate Templates, now allow for merged fields of company and contact information.
  • Templates can be created by picking up an existing letter or estimate and modifying it, or, but entering a new template directly into the Templates section.
Vendors:
  • NEW: Created new Primary Contact for vendors.
  • Updated: PO's allow for terms on a full second page if required.
  • Updated: Print out of PO's are more consistent, and removed constraints on number of line items.
Online Conference Room:
  • NEW: When logging in, only active Jobs are shown in the default list, clicking "Show All Jobs" reveals all Jobs that have been completed.
  • Updated: Column headers are now clickable to sort by that column.
  • Fixed: Invalid password now produces the proper error.
Plugin for QuickBooks Pro:
  • Updated: The import of time and expense categories now handles multiple sub-categories.
NEW: Canadian Edition:
  • NEW: Added new preferences for a Canadian localized version.
  • NEW: Added federal tax amount to all applicable calculations.
  • NEW: Localization including province, Postal code, etc. throughout.
  • NEW: Added preferred currency preference per client
  • NEW: Added new optional Currency prefix (US$ or CA$) to dollar totals.
  • NEW: Added Tax checkboxes for applying state and federal tax to all service and resale items.
  • Updated: all Purchase Orders and Insertion Orders for Canadian Edition.
  • Updated: Added country to all companies (Clients, Prospects and Vendors)
